How should a small business respond to a negative review?

A calm, public reply often matters more than the review itself.

How should a small business respond to a negative review?

A negative review is not the disaster it feels like. How you respond is read by every future customer, and a measured reply often wins more business than a perfect record would.

Respond promptly and calmly

Reply within a day or two, never in anger. A defensive or sarcastic response does far more damage than the original complaint.

Acknowledge and take it offline

Thank the person for the feedback, acknowledge their experience, and offer to resolve it directly by phone or email. This shows you care without airing the full dispute in public.

Correct facts politely, if needed

If the review contains a factual error, you can state your side briefly and politely. Do not argue point by point.

Learn from patterns

One odd complaint is noise. The same complaint appearing repeatedly is a signal about something in your service worth fixing.

Keep perspective

A page of only five-star reviews can look suspicious. A few honest, well-handled criticisms make the positive reviews more believable.
